Car rental payment reconciliation and settlement controls
A rental payment can involve a contract charge, card authorization, capture, deposit release and later bank settlement. Reconciliation helps find gaps without confusing an authorization with collected revenue.
Match the payment stages
Use the contract, payment provider, bank statement and accounting ledger as sources. Match stable identifiers and amounts while allowing for settlement dates, currency conversion, fees and partial captures.
Resolve exceptions safely
Queue unmatched, duplicate, reversed or partially settled transactions for review. Limit payment-data access, never store full card numbers or security codes, and follow provider requirements and applicable controls.
Reconcile and report
Tie provider totals to bank deposits and ledger postings. Check refunds and deposit releases against contract closure. Track recurring variance causes and never promise a bank posting date controlled by the issuer.
Frequently asked question
Why can an authorization differ from a settled charge?
An authorization reserves funds but is not a captured payment. Settlement, partial capture, release and issuer processing can change the amount or timing.
