The core metrics
- Fleet utilization: rented days divided by available days.
- Average daily rate (ADR): rental revenue divided by rented days.
- Revenue per available vehicle day: utilization multiplied by ADR. It shows revenue and occupancy in one number.
- Cost per rented day: total annual cost of a vehicle divided by days it was rented. See the cost per rental day calculator.
Operational metrics
- Maintenance downtime: days a vehicle is unavailable for service.
- Overdue services: number of critical services past due.
- Late return rate: late returns divided by total returns.
- Damage cost per rental: repair costs not recovered, divided by rentals.
- Fines recovered: fines billed and collected divided by fines received.
How to use them
Review them monthly by branch and by vehicle group. Look for the vehicles dragging utilization down, the branches with more late returns, and costs you are not recovering. A system that holds contracts, maintenance, tracking and accounting together makes these numbers available without rebuilding them in a spreadsheet.
