The life of a rental
- Create the contract. The rental plan, rate, deposit and kilometer allowance fill in from the vehicle group and rental length. Discounts are capped by role. See dynamic pricing.
- Start the rental. A check-in inspection records condition, fuel and odometer, and the customer signs on screen. See digital signature inspections.
- While the car is out. Track it by GPS, change the vehicle or driver if needed, put the contract on hold, or report an accident. See vehicle change, contract hold and accident management.
- Return. A check-out inspection and return summary cover extra kilometers, fuel and late fees, signed by the customer.
- Invoice and close. Choose the charge lines to bill. The contract closes itself when invoiced amounts match the grand total.
- Late fines and claims. A traffic fine finds the contract that had the car at that time, and insurance claims are filed from the accident record.
Behind the scenes
Every invoice, depreciation line, lease payment and disposal posts a balanced journal entry. Utilization and profitability show which vehicles earn and which do not. See cost and revenue management and vehicle profitability.
Frequently asked questions
Does one contract cover all of this?
Yes. Inspections, holds, accidents, fines and payments are all linked to the same rental contract.
Do staff need training for each step?
The screens follow the order of a real rental, so the contract moves from draft to in progress to closed as each step is completed.
